Account information. Your name, email address, and organization details, provided when you sign up through our authentication partner (Clerk).
Profile and business data. Vehicle records, finances, saved jobs, application history, AI email drafts, and email templates that you create or import into the Service.
Usage data. Pages viewed, features used, search queries you run, and quota counters (search and AI generation counts), captured by our product analytics partner (PostHog).
Device and log data. IP address, browser type, operating system, and timestamps, collected automatically when you interact with the Service.
Payment information. Billing details are processed by Clerk Billing. We do not store full card numbers on our servers.

2. How we use information

To provide, maintain, and improve the Service.
To enforce plan limits (search counts, AI generations, fleet size, email-template counts, quote-PDF exports) and apply feature gates.
To generate AI-assisted application emails and feedback acknowledgments using third-party AI providers (Anthropic).
To pull live job listings on your behalf (HasData, SerpAPI).
To communicate with you about your account, support requests, and service changes.
To comply with legal obligations and prevent fraud or abuse.

3. How we share information

We do not sell your personal information. We share limited information with the following categories of service providers, only as needed to operate the Service:

Clerk — authentication, organization management, and billing.
Convex — application database and serverless functions.
Anthropic — AI generation for application emails and support replies.
HasData and SerpAPI — live job listing retrieval.
Mapbox — geocoding for location filters.
PostHog — product analytics and session recording.

We may also disclose information when required by law, to protect the rights and safety of users, or in connection with a corporate transaction (merger, acquisition, or sale of assets).

4. Data retention

We retain account and business data for as long as your account is active. When you delete your account, we delete or anonymize personal information within 30 days, except where retention is required for legal, tax, or fraud-prevention purposes.

6. Security

We use industry-standard safeguards (encryption in transit, access controls, audit logging) to protect your data. No system is perfectly secure; please use a strong, unique password and keep your account credentials private.
